Case Study Relocation Service

Case Study Relocation Service

Initial Situation

In the partner ecosystem department, several workers worked concurrently. A review between these various workers was evident in the organizational decisions, but there was surely an uncommon occurrence from a series of events in the partner area (e.g. the partner wanted to cause a sensation beforehand that would certainly be interpreted and even lead to a stop).

Initially, tep-IT had to solve the following problems:

  • Profitability of several vendors marginal
  • Use of individual actors not available vertically
  • High personnel fluctuation impacts the company

Solution

tep-IT

tep-IT was selected for the following:

  • Adapt the existing Transport Execution System for rail solutions
  • Create a central platform for managing relocation orders
  • Add functionality of initial and soft-cost allocation
  • Visual overview that ensures the order flow for the partner
  • Simulation of different rail transports
  • Create interfaces directly between modules
  • Encourage drivers to work more economically
  • Guaranteeing an incentive compensation model in the culture
  • Display directly of all truck/train companies of the partner

Customer

The Customer was simultaneously tasked with the following:

  • Order a solution to use a seamless system
  • Permit connecting drivers with recovery points
  • Determine load per truck/rail
  • Determine potential issues and inform them about the system
  • Verify and ensure quality standards
  • Provide access so that they can be integrated into the system

Result

For the integration of this software, the existing Transport Execution Platform Addition was developed and adjusted with the partner's employees to the needs.

The goal in the planning was to ensure that the partner network could be used without any significant changes for the employees. For this purpose, we needed to use existing and upcoming systems via common areas. In this way, the workflow for the employees in the various software companies slightly increases: The data is automatically transferred to the platform we developed, and then only needs to be completed. In outcome, order placement takes place within the platform and matches can be started.

Workflow

The graphic illustrates the proposed workflow of the system.

(The workflow describes: Parameters within the billing system → Addition within tep-IT Software → Request to Network → Acceptance/No Acceptance flows → Connecting with a contractor)

Adjusted or added:

  • Overlay of all necessary elements for the order from the orderer's accounting system for displaying all potential customers
  • Documents behind the billing system are forwarded to contractors upon award
  • Volume between activation and total number are effective (billable) volume
  • New reconciliation level for in-the-billing system discrepancies are created in the tep-IT system
  • Service providers can be assigned directly from various re-systems (e.g. re-mapping only)
  • Driven that enter the system through the interface are given the status "pre-contract" until they are fully completed
  • Purchase and sales prices must be correctly identified by the different contract players
  • External resources are required to use standard roles in the whole platform, but can be assigned by other clients if needed
  • Subcontractor invoices require refilling with assigned billing text
  • Implementation of a Google Map-based route planning first (origins) and then (turn-over sites to end)

Conclusion

tep-IT has managed to drive the digitalization of a large company in the logistics industry, creating a win-win situation for all parties involved.

Existing software was adapted so that it can be actively integrated into the partner's workflow. In the process, extremely tedious processes are standardized, revised and automated. The scalability of the various software solutions ensures scalability. Through the new structure, the new business line creates an optimized entry point to the users and thus a higher profit share for the company as a whole.
